Manually Calculate Accreditations

The Calculate Accreditations feature allows a manual means of forcing the LMS to review and recalculate both achievements and revocations for an accreditation when changes occur outside of the normal automatic triggers that award achievement.

Feature Overview and Requirements

If you are making updates to an accreditation, especially if adding/removing requirements or changing eligibility by adding new or removing position groups, it is a good practice to follow the update with a manual recalculation of the accreditation for the position groups tied to it.

When this is not done, you may find later that some people who have completed all the requirements to achieve the accreditation are still not getting it. Some events do not trigger the automated accreditation scripts to re-evaluate achievement status.

Even when no clear change has been made to the accreditation, when you find situations in which accreditations are not being properly calculated for someone, a good first troubleshooting step is to go through this process, which can be applied to locations, position groups, or individuals.

Step by Step Procedure and Field Description

To manually calculate an Accreditation:

  1. From the Administration page, go to Accreditation > Calculate Accreditation.
  2. Program: Select the Program under which the particular accreditation resides.
  3. Calculate For: Choose the level at which you want to focus the re-calculation – Location, Position Group, or Individual. If changes will impact a large number of people, we recommend position group or location to save time. You will likely need to run it for all position groups in the accreditation unless just certain individuals are reporting issues.
  4. Choose [Location/Position Group/Individual]: This will display a data picker based on the selection made in Calculate For. Use it to select, one at a time, the location, position group, or person you want to run a recalculation for.
  5. Priority: Select how soon you want the manual calculation to run. The selection is important because setting off large numbers of position groups or locations for immediate updates can impact system performance.
    • Immediate – good for individuals or a few positions groups that shouldn’t take too long.
    • Night – reserves your selections for recalculation until the overnight hours when the processing load will not impact users.
    • Weekend – reserves your selections for recalculation until the next weekend for optimal limitation of impact on processing time.
  6. Click Calculate when your selections are complete.
  7. For Night and Weekend runs, you will simply be notified on the page that your calculation is queued. For Individuals, you will be notified on the page if there were no new accreditations achieved or if a new accreditation was achieved or revoked.

As a reminder, these are common situations in which you may need to run Manual Calculations:

  • When the position groups associated with a Program configuration are not set to use Auto-calculation.
  • When you add new positions to an existing position group
  • When you add new position groups to an accreditation
  • When you change a program that was originally not configured to auto-calc to begin auto-calculating. Making that change is not retroactive and doing this catches everyone up.
  • When you are getting reports that someone did not achieve an accreditation for which they show all requirements met. This isn’t always the answer, but is an quick troubleshooting step you can take.
