Schedule Reports and Share Results to Others

Users with access to Report Writer reports can schedule reports to run on a regular basis and optionally email generated results to themselves and others.

Feature Overview and Requirements

Report scheduling is specific to the logged in user. Portal administrators can schedule reports for themselves, but other users, including other portal administrators, must schedule their own reports and reports that are shared with them via their role.

Regardless of a person’s role, the scheduling process is the same. Results provided will be scoped to the logged in user’s organizational purview. 

Schedule reports can also be set up with a different set of standard filters than the original report to help facilitate repeated runs using the same filters over time. For instance, where a report may use a date-based filter that is very specific, like Score Date Range is 1/1/2024-12/31/2024, the scheduled report could be altered for flexibility to “Current Year” or “Last 12 Months” so that it rolls to the next calendar year automatically or just uses a rolling 12 Month view.

Step by Step Procedure and Field Description

Schedule Reports

To schedule a report that is available to you in the Report Writer folders:

  1. In the Report List, find the Folder>Report you want to schedule and click the Schedule button.
  2. Set up filters for your report. This is necessary because the standard report may have filters set up that you don’t want to use. These filters will be the ones used every time the schedule runs.
  3. Set up the Schedule Range to determine how long you want the schedule to be in effect. When the end date arrives, you will no longer receive scheduled reports unless you update the schedule.
  4. Select Frequency.
  5. If you don’t plan to set up email delivery, click Save. If you want to set up email delivery, continue with Step 6.

Email Report Results

  1. If you want to email results to yourself and/or others, complete the Email Report Results section of the scheduling page. 
    • Select a To: address.
    • Select an optional CC: or BCC: address.
    • Select the Format in which the results should be delivered: CSV, PDF, or Excel.
  2. Click Save.

Modify A Report Schedule

  1. On the Scheduled Reports tab, find the report you want to modify.
  2. Click the Edit (pencil) action button next to that report.
  3. The Edit page opens with the same options available during schedule creation. Make updates as desired.
  4. Click Save.
