A Guide to Enrollment Conflict Messages

Enrollment conflicts are warnings or statuses that display when trying to enroll in a course or attempting to enroll others. This guide explains the most common conflicts and what they mean.

Enrollment Conflicts and Their Meaning

Enrollment conflict messages appear as part of  Self-Enrollment and Enroll Others processes. Some are hard stops and enrollment will be prohibited. These are noted as Blocked = Yes in the descriptions below. Others are simply informational – alerting you to a situation you may not have been aware of otherwise.

This list included common enrollment conflicts and additional messages that can appear in the same manner that are not enrollment conflicts, but may be important to understand as part of the enrollment process.

Types of Conflicts and Warnings

General Conflicts and Warnings

Student does not meet course prerequisites.

This displays when enrolling a user (Enroll or Enroll Others) and the user does not meet the course prerequisites.
 
Blocking: Yes

Student already has equivalent credit for course.

This is not an enrollment conflict message. This serves as a warning message that the student already has equivalent credit for the course. It does not prevent them from taking the course for normal credit.
 
Blocking: No

Student is actively enrolled in this course.

This displays when using Enroll Others Quick or Batch Enroll for a non-classroom course and the user selected is already enrolled in the course.
 
Blocking: Yes

Instructional Language does not match student preference.

This displays when the instructional language of the course does not match the preferred language of the user.

Blocking: No – It is still possible to enroll

Student has already taken course (including Pass/Fail). {0}

This displays on Enroll or Enroll Others when trying to enroll a user who has a completed transcript (Pass/Fail) and the course is set to Once Only enrollment.
 
Blocking: Yes – until the learner’s transcript for the course is end-dated. Then a new enrollment is possible.

Student already has credit for course {0:d}

Displays when multiple enrollments are allowed; Gives date of the FIRST passing transcript.  It is informational to show passing credit. User can still enroll.
 
Blocking: No

User does not exist or you do not have authority to view this user.

This displays on Enroll Others when the user enters an invalid Username, a Username from another portal, or a user for whom the person enrolling them does not have the right to manage their training.
For instance, if using Quick Enroll under Enroll Others, people are manually typing names in the box that are not the valid usernames of the individuals being enrolled, this message will display.
 
Blocking: Yes, it can’t find users who don’t exist as listed or who are not under the purview of the person attempting the enrollment.

The maximum number of students that can be enrolled from your location is {0}.

This displays on Enroll or Enroll Others when the maximum number of students by location is reached. This is set at the offering level.
 
Blocking: Yes

Interest List Conflicts and Warnings

An active interest for the same course already exists.

This is not an enrollment conflict. When it displays, it allows Save on the Add Interest but doesn’t save a new interest. Also displayed to user when attempting to add interest again.

Blocking: Yes

Interests for the other courses in this series will be added automatically.

This is not an enrollment conflict. This displays when a user enrolls in a course in a series. Interests are added for all other course in the series and can result in automatic enrollment if there are no impediments to enrollment, such as approval requirements or outstanding prerequisites.

Blocking: No

Classroom Offering-Related Conflicts and Warnings

Student already scheduled for this time slot.

This displays when attempting to enroll a user (enroll or enroll others) and the user is already scheduled in another classroom offering for the same time period.

Blocking: No
 

Student is already enrolled in this offering.

Displays when an attempt is being made to enroll a student in an offering for which they are already enrolled.
Blocking: Yes

Student is already enrolled in another offering of this course or on the waitlist. Upcoming enrollments and waitlisted records can be viewed and/or canceled from the student's home page view.

This displays when Enroll Others is used and an Administrator or Manager attempts to enroll a user who is enrolled or waitlisted in another offering for the same course.

Blocking: Yes

Student is already enrolled in another offering and is within Late Cancel Days window. If that enrollment is canceled student may be assessed a fee.

This displays when Enroll Others is used and an Administrator or Manager attempts to enroll a user enrolled in another offering for the same course AND is with the Late Cancel window.

Blocking: Yes
